A quick run-through of how Speaker Portal actually works.
Creating an event and sharing the code
From the Dashboard, click Create event and fill in the basics: title, venue, dates, and your seminar streams and locations (you can add or rename these later from Event Settings). As soon as it's created, Speaker Portal generates a random 6-character event code.
That code is what speakers use to submit — either by entering it manually on the "Submit to an event" page, or by following a direct link. Both the code and the ready-made link sit at the top of the event page, each with a copy button. Share whichever's easier: the code for someone typing it in by hand, the link for a website, email or QR code.
Reviewing submissions (accept/decline, trash)
Every submission lands in the Submissions tab as a closed accordion row. Click one to expand it and see their bio, headshot, socials, and reference number. The three status buttons — Pending, Accepted, Declined — update instantly, and the filter pills above the list let you jump straight to any one status.
If a submission shouldn't be there at all, use Delete speaker at the bottom of their expanded card. This moves them to trash rather than deleting them outright — reachable from Trash at the bottom of the sidebar — where you can restore them, or permanently delete them if you're the event owner.
Building the programme
Streams are your tracks (Main Stage, Technology, and so on) and Locations are physical rooms — set both up from Event Settings, including a colour per stream if you'd like. When you add a session, you can attach any number of speakers (a session isn't limited to one), name a separate chairperson to oversee it, and add sponsors with a logo and/or a name.
One thing worth knowing: sponsors can only be added once a session already exists, so create it first, then reopen it to edit and add sponsors. If you try to double-book a speaker across two overlapping sessions, Speaker Portal will warn you before letting it through — you can override it if it's genuinely intentional (a panel appearing in two slots, say), but you'll always see the warning first.
Grid view vs List view
Grid is the visual timeline: every day of your programme stacked full-width, with sessions positioned by their actual start and end time. You can group its columns by stream or by location, whichever's more useful for what you're checking — streams for "is this track balanced," locations for "is this room double-booked."
List is the simpler grouped view: every session listed under its stream, with a date picker to step through one day at a time (or view every day at once). Both views support the same stream and assignment filters, and clicking any session in either one opens it straight into editing.
Adding a collaborator
Open Event Settings and scroll to Collaborators. Enter the email address of anyone who already has a Speaker Portal account and they'll get full access to that event — reviewing submissions, building the programme, editing settings, all of it.
Two things stay owner-only, though: deleting the event itself, and managing who else has access. If the person you want to add doesn't have an account yet, they'll need to register one first — this adds an existing account to the event, it doesn't send them an invite email.
